Image Ordering Policies

In an attempt to serve the needs of all our users in an efficient and equitable manner, the VRC has implemented a limit on the quantity of images, video or audio files that can be ordered within a certain time frame.

First it should be mentioned that all requests should ideally be placed with a member of the VRC staff at least 2 weeks in advance of their need, and longer than this for orders of 50 or more images.

We recognize, however, that at times circumstances may make it impossible to know your needs with such advance warning. Thus, some orders will be placed within a shorter time frame. This policy addresses these circumstances and what the VRC staff can reasonably be expected to do with these “Rush” orders.

However, it should be noted that THERE IS NO GUARANTEE THAT RUSH ORDERS WILL BE READY WITHIN THESE TIMES. A general outline keeping this proviso in mind is thus:

5 images or less 3 days
15 images or less 1 week
more than 15 images 2 weeks

We may be able to complete orders faster than stated here, but this cannot be guaranteed, nor should it be expected, as this relies on circumstances not entirely within the control of the VRC staff. Our firm desire it to accommodate the needs of faculty, instructors, and students, but please realize that this is not always possible under such conditions.

All images orders must be accompanied by a properly completed Order Form; even for those orders that will not be added to the collection (the VRC staff makes this decision). This includes all student orders for presentations in seminars and off-campus lectures and conferences.

Order forms must be filled out fully, including the total number of items and the date the items are needed. Order sheets are available online or inside the door of the VRC (460 Heller Hall).

Directions must be clear about which items are to be acquired. If the pages in the resource are not numbered, or there are multiple images on a page, then post-it notes should be used in conjunction with the order sheet to elucidate which images are needed. If this is not performed, clearly it will greatly reduce the chances that this rush order will be completed in a timely manner. Any special instructions must similarly be marked clearly on the order sheet.

Faculty and Instructors

As of Fall 2006, we no longer make slides. We shoot in digital format and add those to the Digital Content Library. If slides are necessary, special arrangements need to be made with the VRC staff.
